Catering Guidelines at Magic Yacht Charters
Our focus is always about providing the best experience possible on the water. We know for a lot of people, that starts with good food and drinks. Whether it be a corporate dinner, a wedding celebration, a casual afternoon affair, or an evening cocktail reception, we do it all. And we do it with only the freshest and seasonal products available. We use organic ingredients wherever possible and pair them perfectly within our Pacific Northwest inspired menus. We are proud to be an Oceanwise partner, and aim to pair these menu items beautifully with our BC VQA wines and other local beverages. We take pride in our food and beverage quality and want you to be able to not only see that in its presentation but to taste it in every flavour. Thank you for bringing your event on board and allowing us the opportunity to impress you and your guests. With most of our menu items being made from scratch, and to ensure we're able to consistently provide the level of service you expect - there's just a few things we want you to know that will make your charter planning easier.
Exclusivity in Catering
We've spent years perfecting the art of cooking exceptional food out of our small boat galleys—it's no easy feat, but it's something we do very well. As such, we are the exclusive caterers on board and are confident we can provide everything you need. That said, we understand there may be occasions where an exception is requested.
In these cases, a galley fee of $15.00 per person will apply. This fee grants your caterer access to the galley prior to your event for reheating and plating only (please note that all food must arrive fully cooked), as well as the use of service ware, plates, napkins, cutlery, and support from our team to assist with galley operations. We also require that your caterer remain on board for the duration of the charter and supply their own servers to ensure proper service of their food.
Please note that all outside catering requests must receive our written approval in advance. Additionally, your caterer will be required to review and sign an Outside Catering Agreement and attend a site visit prior to the event. Any food not consumed during the charter may not be removed from the vessel afterward.
In-house Event Planning
After confirming your charter, we'll connect you with one of our event coordinators who will be by your side as your event approaches. They'll help organize important details like menus, bar service, route selections, vendor logistics, and vessel setup to make sure everything is ready for your big day.
Your coordinator will be a helpful resource for all the services we offer; however, they don't take on the role of a full event planner. Any additional décor, rentals, or custom elements will need to be arranged by you or your planner. We're here to deliver everything you need for a seamless experience—while leaving room for the personal touches that make your event uniquely yours.
Custom Menu Requests
We're happy to accommodate custom menu requests whenever possible. Please note that these requests can be arranged once your event is confirmed and you are working with one of our event coordinators. For any special items outside our standard menu, we recommend providing as much advance notice as possible; at minimum, we require three (3) weeks' notice prior to your event.
Menu Selection and Guaranteed Attendance
To ensure the highest level of service, your menu selection and estimated guest count must be submitted to your coordinator at least three (3) weeks prior to your event date.
Any increases within seven (7) days of the event may incur a 15% surcharge on additional meals and are subject to availability. Due to limited onboard storage, we may not always be able to accommodate last-minute additions. Reductions to the guaranteed guest count within seven (7) days cannot be accepted, as staffing and inventory will have already been finalized.
Dietary Restrictions
Our menus are designed with the ever-changing world of dietary restrictions in mind. To support this, each menu includes a variety of vegetarian, vegan, gluten-free, and dairy-free options, and we encourage planning your event with these considerations in mind.
Menu items are labeled with common dietary indicators; however, we ask that no assumptions be made and that all allergies or dietary concerns are clearly communicated to our team in advance. For events with buffet service, a "special meal" entrée can be set aside and held until requested. For reception-style events, individually prepared special meals are not offered, so menus should be curated with dietary needs in mind.
Halal meatsHalal-certified meats are available upon request with advanced notice. An additional charge applies: $4.00 per person for beef and $3.00 per person for chicken. This includes certified sourcing, as well as separate preparation, handling, and labeling to ensure compliance.
Vegan (vgn) and Vegetarian (vg) dishesVegan meals are available upon request with advance notice at no additional cost. These meals are prepared separately and clearly labeled to meet dietary requirements.
Gluten-free (gf) mealsGluten-free meals are available upon request with advance notice at no additional cost. They are prepared separately and labeled to help minimize the risk of cross-contact.
Menu Minimums / Labour Charges
Some menu items have minimum order requirements, which will be noted at the bottom of the page when applicable. We also run promotions from time to time—please click "Plan Your Event" in the top right corner of our website to submit an inquiry and learn about any current special offers.
If your order does not meet the applicable menu minimum, a $100.00 galley labour fee may apply.
Children
Children aged 2 and under can dine complimentary from any buffet service. Children aged 3 to 12 receive 50% off the adult buffet price.
Please note that all children are included in your final guest count and are subject to Transport Canada capacity regulations as outlined for each vessel. For safety reasons, we also appreciate knowing the number of children in your group in advance to ensure we have an appropriate supply of properly sized life jackets on board.
Bar Service
We are fully licensed venues and are required to provide all beverage service within approved licensing hours. For your event, you may choose from the following bar service options:
Cash Bar: Guests purchase their own beverages onboard using cash, debit, or credit. There is no cost to the host for this option, and all drinks are priced according to the applicable beverage menu. Please note that cash is recommended, as credit card processing may take a little longer while we are out on the water.
Host Bar: The host covers the cost of beverages consumed by guests during the charter. At the end of your event, you will be invoiced during the following business days based on the bartender's recorded consumption while the bar was open. With this option, you are welcome to provide any guidelines or restrictions for service (for example, no doubles or no shots).
Drink Tickets: The host provides guests with drink tickets that can be exchanged for beverages of their choice, with all usage billed to the host afterward. This option is helpful for managing individual consumption and supporting overall budget control.
Please note that onboard storage space is limited, and in some cases certain products may sell out during the event and may not be restocked until the following charter. While we would love the ability to replenish mid-event, this is unfortunately not possible. We carefully stock our bars based on event trends and experience; however, if you have specific preferences or know your group's favourite drinks or styles, we are happy to incorporate that information into our planning and ordering to help ensure the best possible selection for your guests.
Special Order Beverages
Like custom menu items, special beverage requests require time for us to confirm availability, place orders, and prepare accordingly so we can deliver the bar selection you'd like for your event. All alcohol must be purchased through our liquor license and served by our in-house team.
Any requests outside of our standard bar menus must be submitted in writing at least three (3) weeks prior to your event date and can be accommodated where possible. When a special-order item is available, we will source it at the advertised BCLS price, which is charged to you as the host. During your charter, any beverages from these special orders will be billed per drink—either to your host tab in a hosted bar arrangement or directly to guests at our standard bar pricing in a cash bar setup.
Service Charges
An 18% service charge applies to all pre-ordered food and beverage items and will be listed as a separate line on your invoice. This service charge does not apply in the case of a cash bar or onboard "food for sale" service.
